Sync Clients from CMS

By syncing your clients from CMS you save time by not having to recreate them in the Provider Portal. Once you have synced your clients they are available for use in the Appointment Scheduler and Document Storage.  

Part 1: Connect your Provider Portal account with a CMS Account

You can sync clients from any CMS that you have with one or more suppliers. In order to import/sync your clients you must have an active account with the CMS you wish to import from.

If your Provider Portal account email is the same email on your CMS Account:

  1. Go to the CMS you intend to sync from
  2. While on the login form of this CMS, click the "Log in with Provider Portal" 
  3. You will be redirected to the Provider Portal and...
    1. asked to log into the Provider Portal if you aren't already
    2. asked to authorise the CMS login request
  4. Upon logging into the CMS you will have successfully connected the two accounts

If your Provider Portal account email is NOT the same on your CMS Account:

  1. Go to the CMS you intend to sync from
  2. Log in as you normally would
  3. Click "My Account" from the top right menu
  4. Find and click the tab named "Connected Accounts"
  5. Click the "Connect to Provider Portal" button
  6. You will be redirected to the Provider Portal and...
    1. asked to log into the Provider Portal if you aren't already
    2. asked to authorise the CMS login request
  7. You will be directed back to CMS and a message should indicate that you have successfully connected

Part 2: Sync your Clients

  1. Log into the Provider Portal
  2. Click "Clients" from the upper right menu
  3. While on your Clients list find and click the tab named "Sync"
  4. On this form under "Select an account" pick the CMS you just connected and click "Next"
  5. You will now see a list of your clients from the selected account
  6. Select the clients you wish to sync and click the button at the bottom of the page to start syncing
    1. You will also be given the option to overwrite the information for selected clients, if they have previously been synced.  You will not want to overwrite clients for whom you may have updated basic information.  
  7. After, the clients you selected will appear in your Clients list

Things to know:

  • The sync is only one way. You can only sync from a CMS not into a CMS.
  • If a supplier has made a change to the Client details you can sync the changes to the Provider Portal. You will need to use the "overwrite" existing option when syncing. 
  • The overwriting process does not affect the schedule history or any documents that you have uploaded or created for the client.
